Make Your Reservation with the Events Office

Meeting Room reservations can be made through our Online Scheduling System

Our office hours are:

Monday - Friday    10:00 am - 7:00 pm
Saturday                10:00 am - 6:00 pm

And our office is Room #213, located in the Academy Wing

The Ballroom

  • Monday through Thursday
    • $600 for a 9 hours (9:00am - 6:00pm)
    • $1,000 for full day rentals (9:00am - 11:00pm)
  • Friday and Saturday
    • $1,500 for full day rentals (9:00am - 11:00pm)

15% discount offered to Provo residents and businesses

The average Ballroom event typically has around 150-200 guests; though the Ballroom can accommodate up to 499 guests, depending on the setup style of your event and staging needs.

Large Meeting Rooms

Young Special Events Room 201, Brimhall Room 302, Bullock Room 309

  • $35.00 per hour with a 3 hour minimum rental.
  • 15% discount offered to Provo residents and businesses

Average Large Meeting Room events typically have 20-50 guests; however, depending on the specific room and setup you need, they can accomodate up to 90.

Small Meeting Rooms

Maeser Room 214 & Young Card Room 308

  • $25.00 per hour with a 3 hour minimum rental.
  • 15% discount offered to Provo residents and businesses


Average Small Meeting Room events typically have 5-15 guests; however, depending on the specific room and setup you need, they can accomodate up to 30.

Information Regarding All Reservations

  • You only have access to the room during the time you have scheduled.
  • You must be out of the room by the scheduled time in order to avoid losing your booking privileges.  
  • We accept Visa, MasterCard, and American Express.
  • We offer free audiovisual equipment on a first come, first served basis.
  • We set up and take down all the tables and chairs for events.
  • Room use before 9:00 am is available for an additional charge.

Non-Profit Organizations

We offer free meeting rooms on a monthly basis for non-profit organizations if the event is free and open to the public and presents information useful to the general public.  We also require that “free room” users post an ad in the Community Events Section of the Daily Herald, which means the room schedule has to be made far enough in advance for the notice to have appeared in the paper.
